Debian at OpenExpo, 24. - 25.3.2010 in Bern

Hi

As discussed at the debian.ch general assambly in December last year I
applied for a booth at OpenExpo[1] in Bern. The booth was approved some
weeks ago and as it's now about 1 month to the conference we should
organize the event a bit more in detail.

We need at least 2 persons manning the booth for both days (=4
person*days). Additionaly someone needs to organize the merchandise and
other stuff for the booth. For more information on how the conference
organizer expect us to present the project see [2].

If we provide a poster as a PDF document ready for print until the 17.3. the
organizer offers to print this on A0 for us (at no cost). Is someone up
to design a poster or is there already a poster design for Debian we
could reuse?

Everybody who want's to help and especially ppl who are able to help
staffing the booth should reply to this mail until next Wedensday 24.2.

I'm away over the week-end, so don't expect any replies until Monday
from me. If anyone want's to setup wiki pages on wiki.d.o and announce
the event on the relevant project pages, please do so. If nobody does it
I'll take care of this on Monday.

This is during a week where I have helpdesk duty at work. Since I
already took one day off for FOSDEM during my last helpdesk week, I
can't take off two days again during helpdesk week. :-/

Hi everybody

Only Axel answered to my last call for help and he is unfortunately
unable to help staffing the booth. I've now setup a wiki page [1] and
this is my last call for help. If we don't find enough people to staff
the booth until Thursday I'll cancel the booth. I'm unable and unwilling
to staff and organize the booth alone.

So please put your name on the wiki page if you are able to help
staffing the booth!

My main problem is the same for everything German-related: I do not
speak German, unfortunately.  Nevertheless, I could manage to be there,
but only on Thursday, March 25th.

Gaudenz, do you know if it is possible to staff the booth on Tuesday,
March 24th?  I could come to Bern and help you on Tuesday afternoon,
then go back to Genève (I must be there on Wednesday morning) and be at
the booht on Thursday, helping packing/cleaning everything once the expo
will be done.

Since Debian is an international project, it should not be a problem
not speaking the native language of the location the booth will be in.
As long as your not the only one at the booth.  Our developers speak
English and most of our community knows that Debian is international
and that not everybody speaks their own native language.  Personally,
I always appreciate international Debian people at Debian booths.

As Joey already said, I don't think this would be a problem. Most of the
visitors will speak english and hopefully the suisse romandie will be
present as well. You even speak two of the official languages of
Switzerland!

Could you be there on Wednesday afternoon? You could sleep at my place
if you want.

AFAIK it would be possible to set up the booth on Tuesday. I don't know
if it's needed for such a small booth though.

With Luca, Marc and myself we are nearly there to have enough personel for the
booth. Martin, Didier or Daniel could one of you be there on Wednesday?
As a special plus there is a party (last time with free Free Beer) on
Wednesday evening.

Maybe I was not clear, but I think that a person not speaking the main
language is not the best situation ever, especially on the first day and
then it is necessary to actually organize stuff.

That being said, I have no problem attending an event in any other
language, as I have already done in the past.

I do not know when I will have finished with the meeting I have on
Wednesday morning, but I think I can be at OpenExpo around 14:00.

Well, if you think you are able to put everything in place alone, I can
come on Wednesday afternoon and stay until Thursday evening or Friday
morning.

This will be a plus to convince me to come on Wednesday afternoon ;-)

Going back to the organization, I have added some points to the wiki
page at <http://wiki.debian.org/DebianEventsDe/2010/OpenExpo>:

1) debian.ch will bring T-Shirts and foilstickers
     <http://debian.ch/merchandise/>

2) I have a poster (A0, I think), bought a long time ago and based on a
   design by Ayo, ayo-debian_affiche_v5a_small.png at
     <http://73lab2.free.fr/debian_posters/>

   I can bring it, but since there is the possibility to have a free
   poster thanks to the organizers, I will suggest to print a different
   one, but based on which design?  Should this be a general Debian
   poster or something different?

   I can take care of this item, but before starting to work on a design
   I would like other opinions...

3) Should we ask for other materials, e.g. to Credativ?  This depends on
   the space we have at the booth, I guess.

It is basically the work of Kevin Mark, S. Müller, M. Schulze, G. von
Brederlow, M. Krafft, F. Küster and J. Mouette back in 2005.  The
original image is available at:

Kevin Mark publicly linked it on two occasions in January 2009, in

I simply removed the written title in the upper part of the image, since
it was not clearly visible.

I would add that even if this is maybe not anymore the situation, the
graph is representative of all the Debian "packaging" world and it
should be a very good reading on an A0 poster.  Am I too naif?

Hi,
If you go to here[0] I have a DIA source file. At the time, I just read all the
info from the Debian site, details from my own use of Debian, and started to
ask lots of questions on the Debian-devel list. I did not ask for any formal
permission as I did not know if that is what would have been required and at
the time I was just making it for personal use. I felt that I should at least
add some of the names of some of the people who I asked. I also tried to add
attribution to the quotes in the diagram. I guess I have not formally thought
about the license but I do want to use a copyleft license. Maybe CC-BY?

Thank you!  However, it seems that the export-to-SVG of dia-gnome
(0.97.1-2) does not understand texts and not only it converts them to
vectors, but also they are bigger than expected, thus exceeding the
corresponding rectangular shape.  Since I do not have time now to
correct all of them, if we will print this poster it will be based on
the PNG file.

Thanks for working on the poster. However I think this poster is too
technical for this conference. I expect mostly potential Debian users
visiting our booth.

I was also looking for a suitable poster to print. I was thinking about
updating Joeys general overview poster [1]. Perhaps I have some time
tomorrow to take a look at it. Alternatively we could print an updated
version of the Debian Developer worldmap [2].

Is anyone of you able to print some flyers for free? Or would debian.ch
sponsor the printing of flyers? I thought of printing the Debian Flyer
[3] in German, French, Italian and English.

OK, we now have enough people to staff the booth with at least 2 persons
at any time. But this only works if Marc also comes on Wednesday morning
and if I myself and Luca both take 3 shifts...
So I'm still looking for additional volunteers.

Proposed shift plan:
Wednesday 24.3. morning: Gaudenz and Marc
Wednesday 24.3. afternoon: Marc and Luca
Thursday 25.3.: Gaudenz and Luca

Luca, you added a comment on the wiki that debian.ch will bring
foilstickers and t-shirts. Do you bring them or is someone else taking
care of this? Where is the merchandise atm?

Stupid me, I did not look for materials in the event section of the
Debian website, but only in the misc one :-(

I can print whatever we need, but I will be there only on Wednesday
afternoon.

OTOH, with my debian.ch president hat on, I think it is clear that
debian.ch should sponsor everything we need for a booth in Switzerland
or in the Principality of Liechtenstein.  I cc:ed [hidden email] for an
advice of the board.

That is fine for me, but given a very recent call I must take the last
train for Milano on Thursday evening, which means at 18:35 or 19:07.

Most of the T-Shirts and all foilstickers are at Axel's (cc:ed).  I sent
an e-mail to both of you last Thursday asking if you could receive the

Hi all,

I am planning to be there for the two days, and I might need accomodation (maybe
I'll come back home for the night. I'll keep Gaudenz posted.). I will leave on
the 25. at ~ 16h00 to be in Vevey at ~18h00.

Sorry for answering that late, I was pretty busy these days. Looking forward to
see you there !
